What is the first thought that strikes your mind when you hear event management? A majority of you will say Shaddi. Bollywood and Indian serials have conditioned our minds to think about weddings and birthdays. But those are some of the common events every planner or manager has to handle. There is a lot more to event management. This article aims to educate and help you know all about event management.

A large-scale or small-scale gathering has gathered to celebrate an achievement or discuss prospects’ ordeals is an event. Planning and management of these events are defined as event management or planning. Though, these terms are similar and have overlapping responsibilities, yet they can be two different designations in a company. Often small-scale businesses have a single individual assigned for both responsibilities.

Any individual with knowledge of Mass communication is welcomed. A function requires finances, logistics, staff, etc. A corporate event is formal. They are done for any form of hospitality or social activities. Fundraising, awareness, charity, exhibition, conferences, launch, and so on are examples of corporate events. The funding of such events is done by the corporate itself. Public events like Concerts, competitions, festivals, sports, and so on. The funding for these comes from sponsorship. Lastly, there are weddings, birthdays, reunions that are informal events asked by an individual. It’s usually a celebration and, requires detailed work considering India is a diverse country with various rituals.  

Skills 

Multitasking is the most appreciated in this field. Be it the collogues or dealers. The more job they take up, the merrier the situation is. But the risk of confusion and mess-ups is always lurking around. It demands a person to have organizational skills. If you are leading an event, make sure to have meetings. Be clear while assigning the tasks. It is the job of teams. Make sure your intrapersonal skills are handy here. Conflicts won’t help anyone. Your client can give you an impossible budget. In such a situation, negotiation can help achieve a middle ground. At the same time, you must know to handle the budgeting, keeping in mind the requirements client has. Be sure to get an alternative if your budget does not suffice the need. Be creative at your work.

Time management is a must. A well-planned function will have time slots allotted to each part of the event. Despite all the planning, it is possible to have a screw-up. Don’t let that be a discouragement. Crisis management is a compulsory skill in this field. You are always under pressure as you have to reply to your teams and vendors. Delegation is not just for menial jobs. Hence make sure to have backup plans.

Responsibilities

A planner/manager needs to keep certain criteria in their mind for functions they work on. These are their basic responsibilities. Firstly, selected and reserve an appropriate venue for the event. Nobody likes a messy event. Hence make sure to check for the parking and transportation. Coordinate with all your vendors and keep backups ready. Guest security is in your hands too. There could be quarrels at the event. Make sure to talk people out of situations. Be elegant at your work. A happy crowd is the best one. Arrange good entertainment for your guests. Monitor the event at all times. Execution of pre-main and post of any plan is equally important.  

Your clients give you the responsibility to ensure you maintain the respect they have. Planning an event isn’t just the current job in hand but also an opportunity to get projects in the future. Make sure to give your best.
